Who we are
Engaze is a sole trader business based in London, UK, providing video, image, and brand identity services to businesses of every size. This policy explains what personal information we collect, why, and how we handle it. If you have any questions, contact us at hello@engaze.co.uk.
What we collect
We collect information you give us directly, including:
- Your name, business name, and contact details (email or phone) when you submit an enquiry or client brief
- Details about your business and the assets you'd like made, including any tone, references, or selling points you share
- Files you upload, such as logos or photos of your business
- Payment information when you purchase a package, which is processed directly by Stripe — we do not store your card details ourselves
Why we collect it
We use this information to:
- Respond to your enquiry and deliver the assets you've purchased
- Process payment for services
- Contact you about your order, including drafts, revisions, and delivery
- Keep basic business records for accounting and tax purposes
We do not sell your information to third parties, and we do not use it for purposes beyond delivering and improving our service to you.
Who we share it with
We use a small number of trusted service providers (known as "processors") to run our business. Each only receives the information necessary to perform their function:
- Netlify — hosts our website and processes form submissions
- Stripe — processes payments securely; we never see or store full card details
- HubSpot — our customer relationship management (CRM) system, used to track enquiries and client communication
- Runway — the AI platform used to generate video and image assets; business details and references you provide may be used as input for generation
- Airtable — stores your order details, project status, and feedback so we can manage and deliver your project
- Cloudinary — hosts draft and final video/image files so you can view and download them
- Plausible Analytics — provides anonymous, cookie-free website traffic statistics; it does not collect or store any personal or identifying information about visitors
We do not share your information with any other third party without your consent, except where required by law.
How long we keep it
We keep client and enquiry records for as long as necessary to provide our services and meet our legal and tax obligations (typically at least 6 years for financial records, in line with HMRC requirements). You can ask us to delete your information at any time, subject to what we're legally required to retain.
Your rights
Under UK GDPR, you have the right to:
- Ask what personal information we hold about you
- Ask us to correct inaccurate information
- Ask us to delete your information, where we're not required to keep it for legal reasons
- Object to how we use your information
- Withdraw consent at any time, where consent is the basis for processing
To exercise any of these rights, email hello@engaze.co.uk. You also have the right to complain to the UK's Information Commissioner's Office (ICO) at ico.org.uk if you believe your data hasn't been handled properly.
Cookies
Our website does not use tracking or advertising cookies. We use Plausible Analytics to understand website traffic, which is designed to be cookie-free and does not identify individual visitors — no personal data is collected. If this changes in future, this policy will be updated and, where required, we'll ask for your consent first.
Changes to this policy
We may update this policy from time to time. The "last updated" date at the top of this page will always reflect the most recent version.
